Department UBCcard Plan
For staff and faculty, the Department UBCcard is an easy way to purchase food for department meetings and University guests. It is also a great way to recognize employees with lunches or catering services.
Like with a credit card, Department UBCcardholders can make purchases at all Food Services outlets. Promotional events and specials are tailored to Department UBCcardholders; best of all, you don’t have to pay GST.
Multiple cards can be set up on one account for different department users. It’s simple. The program reduces human reporting and account reconciling errors. Department UBCcards are issued at no cost. Department heads interested in the cards are asked to contact the UBCcard office.
How it works:
- UBC Food Services will post all card charges to a standing Journal Voucher (JV) at the end of each month.
- At the beginning of each month, the balance will begin again at zero.
- Each Speed Chart has to have its own separate JV.
- Multiple cards can be assigned to one JV as long as they are applied to the same Speed Chart number.
How to apply:
- Download and fill out the Department UBCcard application form (pdf).
- Please attach your new standing Journal Voucher with Authorization Signature to the application form
- Mail application and new standing Journal Voucher to:

What are the benefits?
- Unlike the Dining Convenience plan, there is no prepayment. Charges are automatically processed on a standing JV at the end of each month.
- All charges placed on the standing JV is exempt from GST.
- Allows the user to eat at any UBC Food Services outlets.
- Allows multiple cards to be issued to numerous users and to have all charges applied to one standing JV.
- Reduces multiple standing JV’s for each food outlet. One JV applies to all locations.
